Executive Assistant

Our Client is looking for an Executive Assistant, on a 12 Month Contract basis, location in London.
Perform diary, administrative, coordination and general office duties to support multiple VPs, and
the functioning of their teams . Among the office duties is to coordinate and facilitate meetings, reports, trackers and a number of other databases supporting the functioning of their teams.
The job holder is expected to perform a role which is highly responsible and of confidential nature to support the VPs and others in their work. It has a high degree of external facing duties including arrangement of events setting up external appointments and preparing formal correspondence. The job holder is a frequent interface for key internal and external stakeholders, so it is critical that they exemplify and consistently demonstrate the company values.

Key Responsibilities

  • Proactive and independent work in the areas of schedule and logistics management and administration to support the respective VPs.
  • Responsible for coordination and issuing of Functional Reports, Minutes of Team Meetings, Action Tracker
  • Updates, Meeting Agendas, Meeting locations and provisions, etc.
  • Carry out assigned tasks and activities in compliance with defined instructions and processes but where a large degree of independent judgement is required.
  • Act as liaison between the respective VPs and all relevant stakeholders – both internal and external
  • Screen incoming calls and correspondence and respond accordingly, if appropriate
  • Prepare confidential correspondence, reports, presentations, and other complex documents
  • Coordinate travel arrangements and produce corresponding itineraries
  • Provide administrative support for special projects to include research and compilation of data and preparation of summary reports based on results
  • Process expenses and corporate credit card statements
  • Arrange and coordinate senior management offsites, away days etc.
  • Liaise with communications department on Company notifications and town hall meetings, etc.
  • Saving, filing and archiving of all documents in the company systems
  • Providing cover for other PA’s when necessary
  • Emergency Response administrative support
