Our client is looking for a Consultancy Administrator for a permanent position, located in Aberdeen.

  • Management and maintenance of database:
  • Registration of new candidates and updating records of current candidates.
  • To continuously improve all necessary systems, processes and procedures relevant to the administration of the general Consultancy database.
  • Provide line managers with guidance on various reporting process.
  • Inform the Consultancy Team of all new database needs and work with them to resolve any issues.
  • Assist with implementation of expiry trackers to database.
  • Assist with upkeep of Consultancy charts.
  • Local point of contact for any database support / issues.
  • Support the Consultancy team with issuing letters, emails, memos.
  • Organize and attend monthly/weekly catch-up calls with Consultancy team to discuss any new issues.
  • Carry out any other Consultancy ad hoc duties as required by the Consultancy Lead.
  • Assist Recruitment Coordinator with Company and Training certificate reminders.
  • Assist Recruitment Coordinator with IT onboarding process and offboarding process.
  • Manage document control for Consultancy, including formatting of Consultant CVs as required.
  • To support audits of Consultancy information as required.


  • Computer literate and experienced in Microsoft office, Word, Excel, Visio, Microsoft Access, and PowerPoint.
  • Database systems skills a bonus.
  • Exposure or familiarization with Well Engineering skill sets and process would be an advantage.
  • Excellent communication and inter-personal skills.
  • Good time management.
  • Ability to organize workload in order to meet deadlines.
  • Self-motivated, enthusiastic and able to work as a team member and liaise effectively with staff at all levels.
  • Ability to liaise with internal teams, offshore personnel and candidates effectively.
  • Capable of working on own initiative and with minimal supervision.
  • Database data entry experience.
  • Candidate/Client communication skills essential.
  • General office administration skills.
