Business Support Administrator

Our Client is looking for a Business Support Administrator, on fixed term contract till January 2021, location in Aberdeen.

The main purpose of this role is to provide support to the Aberdeen office with the following duties:
Business and operational support in the form of:
• Logistics
• Facilities
• Travel
• Document control
• General administration

Key Responsibilities

  • Smooth running of the reception and general office area; meeting & greeting visitors
  • Arranging and coordinating travel and accommodation for staff and contractors
  • Managing the mobilisation and de-mobilisation of staff and contractors to and from installations
  • Arranging necessary documentation and permits (visas, survivals etc.)
  • Facilities management: liaising with outsourced suppliers and including, but not limited to, stationery, water, groceries etc
  • Office administration and management
  • Collation of reports and presentations for the project managers and engineers
  • Maintenance and upkeep of project folders, including drawing registers
  • Any other duties as may reasonably be required from time-to-time by management

Education, Qualifications & Experience

  • Experience of managing an office desirable
  • Experience of working with all levels of management including Directors
  • A basic knowledge of the offshore industry would be desirable
  • A levels or Highers standard of education a minimum requirement
  • High level of literacy in English, spoken and written
  • Experience or basic knowledge of Quality Assurance procedures would be ideal but not essential as training may be given
  • Must have an eye for detail and be able to interpret and comprehend the content and presentation of formal documentation
  • Confident and professional telephone manner
  • IT literate with the ability to prepare and present information to the highest standard, including use of spread sheets and databases so must have an in depth of Microsoft Office Suite including Access, Excel, Word and PowerPoint
  • Ideally may have a basic knowledge of Microsoft Project but training may be given if require
